Reports to: VP Sales

Position Scope: The key purpose of this role is to coordinate sales activities to drive ongoing wholesale sales growth of MAAP.

Position Responsibilities

The key responsibility of the Sales Administration Coordinator is to take full accountability for MAAP’s wholesale sales administration, ensuring overall achievement of maximum sales volume and growing distribution.

A. Culture

Actively champion the vision, values, principles, and practices of MAAP promoting a productive, creative, and inclusive organisation culture by:

  • Proactive promotion of MAAP vision, values, principles, and practices to stakeholders;
  • Enhancing organisational reputation by effectively representing MAAP externally to client organisations; and
  • Performing and exemplifying a leadership role in the business.

B. Sales Coordination

  • Deliver the complete customer experience throughout the entire sales network
  • Ultimate responsibility for wholesale customers’ administrative tasks (i.e. invoicing, credit notes, logistic, inventory management, warranties, samples);
  • Coordinate wholesale sales for existing and future accounts according to the strategic plan (i.e. Indent Orders, Pre Orders, B2B Orders);
  • Communicate with the wholesalers on launch plans and implementation;
  • Collect customer feedback and provide updates to senior management;
  • Develop and sustain long-term relationships with customers;

C. Other

  • Oversee deliveries, shipments and postal services
  • Other duties as reasonably directed
  • Other office related administrative task

KPI’s

1) Customer Service

a) Ensuring customer communication is done in a timeliness manner (i.e. inform clients of product launches, catalogues, unforeseen delays or problems);

2) Administration

a) Filing important documents (i.e. invoices, sales orders, credit notes, warranties, spreadsheets) and communicating relevant information to all customers accurately;

b) Customer administration (i.e. ensure up-to-date CRM adoption and use across the business);

3) Sales

a) Proactively communicating with customers to increase sales;

4) Reporting and measuring

a) Prepare reports as requested;

SELECTION CRITERIA

PERSONAL QUALITIES

  • Self-motivated and self-confident
  • Ability to think strategically and proactively
  • Excellent written and verbal communication, including influencing, negotiation and presentation skills
  • Customer oriented
  • Able to work successfully individually and as part of a team Sound time management and organisational skills

SKILLS & KNOWLEDGE

  • Sound knowledge of sales distribution processes and timeframes
  • Skilled in CRM management and general sales tracking and monitoring (NetSuite and Shopify)
  • Skilled with the Office pack (Word, Excel, PowerPoint) and the Google pack (Docs, Sheets, Slides)
  • Skilled in communication (email, phone, Slack)
  • Experience in the apparel industry
  • Experience in the cycling industry
  • Experience in in-store merchandising
  • Experience in working at events like presentations, shop rides, VIP nights

QUALIFICATIONS

  • Degree or post-secondary qualifications in business and marketing administration

OTHER

  • Fluent in English
  • Other languages are a plus (i.e. Japanese, Mandarin, Spanish)
