THE ROLE

We are looking for a detail-oriented and proactive Accounts Payable Officer to join our global HQ in Port Melbourne. Reporting to the Group Finance Manager, you will be responsible for the accurate and timely processing of supplier invoices, ensuring efficient payment cycles and maintaining strong relationships with our vendors. This role requires excellent organisational skills, a high level of accuracy, and the ability to work independently within a fast-paced environment and a high level of communication with our many international partners.


Key Responsibilities:


  • Process a high volume of supplier invoices accurately and efficiently, including matching purchase orders, coding to the correct general ledger accounts, and obtaining necessary approvals.
  • Prepare and process timely weekly payment runs & other ad-hoc payments
  • Reconcile supplier statements to ensure all outstanding invoices are accounted for and discrepancies are resolved promptly.
  • Respond to vendor inquiries in a professional and timely manner, building and maintaining positive relationships.
  • Maintain accurate and up-to-date accounts payable records and filing systems
  • Assist with the preparation of monthly and end-of-period accounts payable reports.
  • Identify and implement process improvements to enhance efficiency and accuracy within the accounts payable function.
  • Assist with internal and external audits by providing necessary documentation and support.
  • Ensure compliance with company policies and relevant accounting standards.
  • Perform other ad-hoc duties as required by the Group Finance Manager.


THE CANDIDATE


The ideal Accounts Payable Officer will have the following skills and qualities:


  • Proven experience in an Accounts Payable role.
  • Experience within Retail or other inventory focused industries is essential.
  • Experience operating within a global organisation processing largely cross border multiple subsidiary Inventory and other AP is highly regarded.
  • Experience with complex accounting software (e.g. NetSuite). Proficiency in NetSuite is highly desirable.
  • Exceptional understanding of accounts payable principles and procedures.
  • Strong data entry skills and a high level of accuracy and attention to detail.
  • Excellent organisational and time management skills, with the ability to prioritise tasks and meet deadlines.
  • Mature and professional communication and interpersonal skills, with the ability to interact effectively with vendors and internal stakeholders.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and Google Suite. Intermediate Excel skills (e.g., VLOOKUPs, basic formulas) are advantageous.
  • Ability to work independently and as part of a team.
  • A proactive and problem-solving approach.
  • A growth mindset, with a positive attitude and a willingness to learn.
